Purpose of Role:

The purpose of this role is to coordinate sales administration and logistics required for Molybdenum and Copper Concentrates, ensuring smooth shipments for both overseas and domestic customers. This role also involves preparing and analyzing management reports and supporting various marketing projects as needed.

 

Role Accountabilities:

Logistics & Documentation Support: Undertake end-to-end logistics for molybdenum and copper concentrate shipments.

  • Help prepare monthly shipping schedules and allocation reports.
  • Coordinate shipment details with customers, including vessel ETA's, booking details, and Letters of Credit (L/C).
  • Book ocean freight shipments and assist in preparing and issuing export documents such as Bills of Lading, invoices, and certificates of origin.
  • Track and monitor the movement of concentrate bags from the mine to the port.

Administrative & Financial Support: Perform the assay exchange process and coordinate umpire analysis as needed.

  • Track and follow up on payments, providing timely updates to the finance team.
  • Review and distribute invoices from third-party vendors for payment.
  • Assist in preparing and presenting L/C documents to financial institutions.
  • Prepare vessel laytime calculations and reconciliation.

Customer & Vendor Relations: Act as a key point of contact for external partners.

  • Communicate with customers regarding shipment updates and inquiries.
  • Maintain strong relationships with vendors, including customs brokers, shipping companies, and laboratories.
  • Request quotes and assist in appointing supervision companies for destination port inspections.

Reporting & Data Management: Maintain accurate records and support management with data analysis.

  • Input and update shipment information in our internal systems.
  • Prepare weekly cash flow reports and other ad hoc reports for management.
  • Prepare and update customer information, including Know Your Customer (KYC) processes and contract checklists.

 

Experience, Knowledge & Skills:

  • Previous experience in an administrative, logistics or related support is a plus but not required
  • Strong organizational skills and an excellent attention to detail.
  • The ability to communicate effectively and build relationships with internal and external partners.
  • A proactive and eager-to-learn attitude.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

 

Qualifications:

  •  Degree in Business Administration, Marketing, Finance or any related field.

 

Travel:

  • 5% to 10% travel
